Personal Health Record Policy

Last updated: 18 October 2026

This standalone policy explains what Healthidia is, what it is not, and the rules that apply to storing your own health records here. It sits alongside our Terms of Service, Privacy Policy and Healthidia Policy.

1. Who operates Healthidia

Healthidia is operated by ASM Professional Services, registered in the Netherlands (KVK 42137630; VAT ID NL005526019B33). The service is offered from healthidia.com and all support is handled through support@healthidia.com.

2. What Healthidia is

Healthidia is a personal health record platform for adults aged 18 or older. It lets you store, organise and retrieve your own existing health information in one place:

  • Laboratory reports and individual test results, with tables and trend charts.
  • Imaging and cardiology reports (X-ray, ultrasound, MRI, CT, ECG, echo and similar).
  • Prescriptions, medication lists and dose logs.
  • Medical history notes and measurements such as blood glucose and blood pressure.
  • Downloadable summaries and PDF reports you can keep or forward yourself.

You decide what to add, what to download, and whether to show or send your copies to your own healthcare professional. Sharing happens only with your explicit action and consent.

3. What Healthidia is not

  • It is not a medical device, diagnostic tool or treatment service.
  • It does not provide medical advice, diagnosis, prescriptions, triage or emergency monitoring.
  • No doctor, nurse, pharmacist or other healthcare professional reviews your entries.
  • Using Healthidia does not create a clinician–patient relationship.
  • It is not for children, and not for managing another person’s or a clinic’s records.

Colours, ranges, labels and trends in the app are organisational aids only. Never use them to make treatment decisions. Always consult a qualified healthcare professional, and in an emergency contact your local emergency services.

4. Your responsibilities

  • You must be at least 18 years old and confirm this during registration or first use.
  • Entries you type in are marked “Manual”; entries you change are marked “Edited”. You are responsible for checking them against the original documents.
  • Keep your original reports and documents; Healthidia is an organising copy, not the official record.
  • Keep your sign-in details private and use a device you trust.
  • Do not upload records belonging to someone else without their authority.

5. Your health data and how it is protected

The information you enter and upload can be special-category health data. Where the GDPR applies, we rely on your explicit consent (Article 9(2)(a)) together with the legal bases described in the Privacy Policy. You can withdraw consent, export your records or delete your account as described there.

The configured database, file storage and authentication region is EU West (Ireland), and EU processing is our preference. However, we do not claim that all data remains exclusively within the EU: backups, logs, support access, delivery networks, email and AI subprocessors have not all been verified yet, and international processing — including by US-linked providers — must not be treated as excluded. See the Healthidia Policy for the current status.

6. AI-assisted reading of documents

Where enabled, AI may help transcribe information from documents you upload so you can review and confirm it. AI output is a draft for you to check — it is not a clinician and not an independent medical opinion. Health-document AI reading is currently disabled during the protection hold and will not resume until provider permission, processing locations and transfer safeguards are verified. Details are in the AI Disclaimer.

7. Regulatory status and medical compliance

Healthidia is offered as patient-controlled recordkeeping. Describing it as recordkeeping-only does not by itself exempt it from medical-device or healthcare law; classification depends on intended purpose, functions and national rules. Before full reopening, a competent regulatory adviser will assess the actual charts, reference ranges, attention labels, pattern analysis, automated extraction and report outputs, and any required conformity assessment, registration or restriction will be completed first.

We do not claim CE marking, medical-device clearance, a healthcare-service licence, HIPAA compliance, HDS certification, ISO 27001 or SOC 2 assurance. Country-specific requirements (EU/EEA, France, UAE, United States and others) are listed in the Healthidia Policy.

8. Subscriptions, VAT and billing

Paid plans are billed through Stripe. Displayed prices include VAT as applicable under Dutch and EU tax law; the company’s tax registration (VAT ID NL005526019B33) is separate from data-processing region settings. Cancellation, renewal and refund terms are in the Terms of Service.

9. Current service status

The service is temporarily paused while provider permission, data-processing locations and regulatory matters are verified. Unpublishing or pausing does not delete your records or cancel subscriptions. For access, export, deletion or billing help, email support@healthidia.com and do not attach health documents to ordinary support emails.
